Electrical O&M Manual Checklist

A practical checklist of what to include in an Electrical O&M Manual — certificates, datasheets, drawings, warranties and handover documentation. Save it for site use or work through it before you start your manual.

Project information

  • Project name and site address
  • Main contractor or end client name
  • Project or contract reference number
  • Description of the works carried out
  • Practical completion or handover date

Contractor information

  • Electrical contractor or subcontractor name and contact details
  • Company registration and accreditation details (e.g. NICEIC, NAPIT)
  • Scope of works undertaken by your company
  • Details of any specialist sub-contractors or installers used

Scope of works

  • Summary of the electrical installation works carried out
  • Areas, floors or zones covered by this manual
  • Systems installed (lighting, power, fire alarm, etc.)
  • Any items or areas excluded from this scope

System descriptions

  • General lighting and lighting controls
  • Emergency lighting
  • Small power and distribution
  • Distribution boards and switchgear
  • Containment and cable management
  • Fire alarm systems
  • Other systems installed (access control, CCTV, data, EV chargers, external lighting)

Certificates

  • Electrical Installation Certificate (EIC)
  • Minor Works Certificates
  • Schedule of inspections and test results
  • Building Regulations / Part P compliance certificate (if applicable)

Commissioning records

  • Commissioning certificates for each system
  • Witness testing records
  • Functional test results for emergency lighting and fire alarm systems

Drawings

  • As-built electrical layout drawings
  • Distribution board schedules and single line diagrams
  • Containment and cable route drawings
  • Riser diagrams (if applicable)

Datasheets

  • Manufacturer datasheets for all installed equipment
  • Installation and operating instructions
  • Spare parts and consumables information (where available)

Warranties

  • Manufacturer warranties for major equipment
  • Installation guarantee from the contractor
  • Warranty start and end dates and any registration details

Maintenance requirements

  • Recommended maintenance schedule
  • Manufacturer maintenance instructions
  • Items requiring periodic testing (emergency lighting, fire alarm, RCDs)

Emergency information

  • Emergency contact details
  • Isolation procedures
  • Location of distribution boards, isolators and main switchgear

Document issue information

  • Document revision number and date of issue
  • Prepared by / issued by
  • Distribution list — who the manual has been issued to
